1. Who is responsible
The BV(DU)COEP ACM Student Chapter is responsible for the personal data collected through this website. Our postal address, email addresses and phone numbers are on the contact page. Questions about your data go to brdevhare@bvucoep.edu.in.
2. What we collect
Only what the application needs. From the registration form: team and member names, email addresses, a contact phone number, institution, city and country, programme and year of study, and team size. About the entry: the chosen SDG track, the Challenge Book ID, a working title, a problem statement and a link to the Round 1 deck. About the payment: the screenshot of your UPI confirmation, which the form requires before it will accept a submission.
We also record the time of registration and the reference ID we issue. We do not use advertising trackers or third-party analytics, and we do not build profiles of visitors who never register.
3. Your payment screenshot
The fee is paid by UPI transfer directly between your app and the collection account, so no card number, UPI PIN or banking credential is entered on this website or reaches us.
What does reach us is the confirmation screenshot you attach. Those images usually show a bank or UPI app, and often a masked account number, a transaction reference and sometimes a balance, so we treat them as sensitive. They are held in a private file store with no public address, are readable only by a signed-in organiser, are never sent anywhere else, and are deleted with the rest of your application data. Crop anything you would rather not share before uploading.
4. Why we hold it
To administer the hackathon: verifying eligibility, screening applications, ranking entries, arranging the onsite finale, contacting teams about outcomes and logistics, issuing certificates and awards, and reconciling fees against our payment records. We do not sell personal data, and we do not share it for marketing.
5. Details you submit about other people
A team leader enters other members' names, email addresses and phone numbers. If you are that leader, you must have each member's permission before you submit their details. Any member listed on an application may contact us directly to see, correct or remove their own details, whether or not they were the one who registered.
6. Who processes it for us
- Turso hosts the registration database, on infrastructure in Mumbai, India.
- Vercel hosts this website, runs the code that serves it, and stores the payment screenshots in a private file store with no public address.
Each acts as a processor for the organising committee under its own terms. Application data is stored in India; our hosting and payment providers may process limited operational data elsewhere.
7. Who can see it
Access is limited to the organising committee, through an authenticated administration area on this site. Reviewers and jury members see the entry material they need to judge — track, title, problem statement and deck — not payment records. Backups of the registration database are held by the organising committee and restricted to the account that creates them.
8. How long we keep it
Application details are retained for the 25–27 September 2026 event cycle and the reporting that follows it, then deleted. Payment records are kept as long as our financial and audit obligations require. We remove data sooner on request, unless we are required to keep it.
9. Your choices
You may ask us to show you the details we hold about you, correct anything wrong, or delete them. Email brdevhare@bvucoep.edu.in from the address on the application, or write to the postal address on the contact page. We respond within 30 days. Deleting an application before the event necessarily withdraws the team from the competition; the fee position is covered by the refund policy.
10. Changes
This policy is version 1.0, effective 31 August 2026. If we change how we handle personal data, we will publish an updated version here with a new date, and tell registered teams where the change is material.
